Member Management / Scheduler

Categories, event types, and series

Last modified: ~3 min read

The three-tier structure #

My Scheduler organizes events into three nested tiers: Categories at the top, Event Types in the middle, and Series at the bottom. You create all three from the Browse section of My Scheduler. Each series inherits settings from its parent event type but can be customized further.

Categories #

Categories are the broadest grouping. Examples include Group Fitness, Personal Training, and Youth Programs. Two default categories exist and cannot be edited: Schedule Block and Unassigned.

When creating a category, you configure two settings:

  • Name: the label that appears in the scheduler.
  • Is Member Visible?: controls whether this category appears in the Member Account mobile app. Turning this off hides all events in the category from the app.

Event types #

Event types sit beneath categories and define the specific class or session name (for example, Yoga, Spin, Personal Training 60 min). Event types have more configuration options than categories:

  • Name and Category assignment.
  • Deduction: whether attending this event type deducts from a member's session count.
  • Default duration: the standard length of events of this type.
  • Description: optional text describing the event type.
  • Color coding: the color that events of this type display in the Overview grid.
  • Commission: the default commission structure for trainers leading this event type (Fixed Per Member, Percentage, or Flat Rate).

Series #

A series represents the actual scheduled offering: a Yoga class at 9 AM on Tuesday and Thursday, for example. Series inherit settings from their parent event type but offer the most configuration options.

Key series settings include:

  • Capacity: the maximum number of members who can register.
  • Waitlist: enables a waitlist when the event is at capacity.
  • Equipment: assigns specific equipment (for example, bikes in a spin room) to the event.
  • Trainer assignment: links the series to one or more instructors.
  • Online event: marks the event as virtual, with support for Zoom and Facebook Live links.
  • Description: the description that appears in the Member Account app (series descriptions take precedence over event type descriptions in the app).
