Categories and item types

Item types #

Item types define how items behave in the ASF system. They control whether an item adds scheduler sessions, tracks physical inventory quantities, or functions as a gift card. Items from different physical categories can share the same item type.

Common item type examples

  • Clothing, Food and Drink, Accessories
  • Membership Add-ons, Membership Dues and Fees
  • Prepay Accounts, Personal Training, Gift Cards

Adding a new item type

  1. From the Inventory Management main screen, select the Inventory Setup icon and choose Item Type.
  2. Click Add New Item Type.
  3. Enter the item type name, and optionally set Commission Type and Commission Value.
  4. Select the appropriate ASF Item Type from the dropdown (see options below).
  5. Click Save.

ASF Item Type options

  • Scheduler_Bucket: Adds a set number of sessions to a member's account for event check-ins.
  • Gift_Card: Enables loading amounts onto cards at purchase.
  • General_Inventoried: For physical items with quantity tracking.
  • General_Non_Inventoried: For non-physical items such as enrollment fees.
  • Prepay: Deposits an amount into a member's prepay account.

Note: Do not create item types with the ASF_Dues type; that designation is reserved for system use.

Salesperson-specific commissions

To override the general commission for a specific staff member, click Toggle Salesperson Commission, select the salesperson, set Commission Type and value, and click Add. This overrides the item type's general commission for that individual only.

Assigning attributes to an item type

Attributes assigned to an item type appear as optional or required fields on every item within that type.

  1. Select an attribute from Available Attributes and click the + icon.
  2. Mark the attribute as required or remove it using the controls in the assigned list.

Categories #

Categories organize items into browsable groups on the MyPOS screen. They do not affect Inventory Management behavior. Using categories is strongly recommended for any catalog with more than a few items.

Adding a category

  1. From Inventory Setup, select Category.
  2. Click Add Category, enter a name, and click the plus button.
  3. Repeat for each category you need.

Creating child categories

Child categories add organizational layers within a parent. For example, a Clothing category can have Men's and Women's child categories.

  1. Select a parent category from the list.
  2. Enter the child category name in the Add Child Category field.
  3. Click the plus button. The child category appears nested below the parent.

Adding and removing items from categories

To add an item: select the category, search for or scroll to the item in the Product List, and click it to add it.

To remove an item: select the category and click the trash can icon next to the item.

You can also manage category assignments from the Category Tree tab within an individual item's edit screen.

Attributes #

Attributes let you attach additional identifiers (size, color, weight, and so on) to inventory items. They are created globally and then assigned to item types.

Adding a new attribute

  1. From Inventory Setup, select Attribute.
  2. Click Add New Attribute if the fields are not already visible.
  3. Enter an attribute name and select its type.
  4. Click Save.

Attribute types

  • Yes/No: Binary option (for example, whether an item has a logo).
  • List: Multiple selectable options created via the Add Option button.
  • Number: A numeric identifier (useful for weight).
  • Count: Distinguishes individual items from packaged quantities.
  • Text: Free-form descriptive text.
